Working hours, leave and booking page
Say when you're available, when you're not, and what rules your meetings follow; then have a booking page where people outside Flowra can set up meetings with you in those same hours themselves.

What this is wired to
Working hours and time zone
You set one or more time ranges for each day of the week, and you can repeat the same hours across all workdays with one button. The default is Saturday to Wednesday, 9 to 17, and it doesn't restrict anything until you save. The time zone is set here too.
With “Apply working hours” on, meetings and timed actions scheduled for you outside these hours aren't saved. Turn it off and only your leave is respected.
This page opens from “Calendar settings” and from the calendar row under “Work and data” in settings.
Working hours, step by step
Each day takes up to four ranges, and ranges that touch are merged into one. A day whose switch is off is a day off, and nobody can set a meeting with you on it. A time can be picked from the list or typed, for example 09:30.
- On the “Calendar”, press the gear button to open “Calendar settings”
- Keep “Apply working hours” on and choose your time zone
- Switch on each workday and set its ranges; make two ranges for a lunch break
- Use “For all working days” to copy those hours onto the other days that are on
- Press “Save hours”; nothing is restricted until you save
What shows on the calendar and in the time picker
In the calendar views, hours outside working hours are drawn faded, and teammates' leave is shown too. A meeting that came from the booking page carries a “Booking” label. Next to any time that falls on leave or outside working hours, the time picker says “Leave” or “Outside working hours” before you save.
The server enforces the same rule without exception: a meeting or timed action assigned to someone outside their working hours or during their leave isn't saved, and free times are suggested. An all-day action that falls on a leave day isn't rejected; it only gets a warning.
Leave and days off
A date range with an optional note. On those days no one can schedule a meeting with you, and the booking page shows no times either.
Leave is respected even if you never saved working hours, or have “Apply working hours” switched off. Past leave stays in the list marked “Past”, the current one marked “Now”, and either is removed with the delete button.
Meeting rules
Buffer between meetings (zero to an hour), minimum notice (zero to two days) and a ceiling on meetings per day. These three rules belong to the booking page: the times it offers stay the buffer's distance from every meeting, are never sooner than the minimum notice, and a day that has hit the ceiling shows no more times. Meetings your teammates set with you are bound only by your working hours and leave.
Booking page
The page address, display name, a headline and short intro, a profile photo if you want one, and how many days ahead bookings are accepted (7 to 90 days). The page can be active or paused; a paused page still opens but doesn't take bookings.
Each page has up to ten meeting types: a title, a duration (15 to 120 minutes), a location (Flowra room, Google Meet or Zoom) and questions asked of the guest. A new page starts with one type: an intro meeting, 30 minutes.
Building the page and its meeting types, step by step
The address is lower-case Latin letters, digits and dashes only (3 to 40 characters) and unique; if somebody else has it, Flowra tells you at once. Google Meet and Zoom can only be chosen once their connector is linked; until then “Not connected” is written beside them. A type with “Show on page” switched off stays hidden but is not deleted, and deleting a type keeps its earlier bookings.
- In “Calendar settings”, go to “Booking page”; a suggested address is made from your username
- Press “Create booking page”; the page starts with a thirty-minute intro meeting
- Write the display name, a short headline and an intro, then press “Save page”
- Set “How many days ahead” and “Show profile photo”
- Add more types with “New type”: title, length, venue, description and questions
- Take the address with “Copy”, or open the page as a guest sees it with “View”
How the free times are built
If you never saved working hours, the page assumes Saturday to Wednesday, 9 to 5, so that it is not empty. The guest sees the times in their own local time, and days with no times are greyed out. The server runs the same calculation again when a booking comes in, so what the page shows is only an offer, and a time that is accepted always fits these rules.
- The days of the booking window, from today to the number of days you chose
- On each day, your working-hour ranges in your own time zone; days of leave drop out
- Start times sit on a fixed grid: the meeting's length, and at most every thirty minutes
- Any time sooner than the minimum notice is dropped
- Any time that, with the buffer added, touches one of your meetings or reserved schedules is dropped
- A day that has reached the meeting ceiling stays empty
What the guest sees
The guest doesn't need a Flowra account. They choose a meeting type, pick one of your free times (in their own local time), enter their name, email and answers to the questions, and confirm the booking. Afterward they can add the meeting to their own calendar, see the meeting link, and cancel or reschedule the booking from the link they received.
Flowra doesn't email the guest; the page says so explicitly so the guest keeps the link for managing the booking.
- The guest opens the /book/<your address> page
- They choose a meeting type and a free time
- They enter their details and tap “Confirm and book”
- The meeting is created on your calendar and you get a notification
Two guests, one time
If two people pick the same hour at once, only one gets it. The booking is written under a lock on your calendar and your meetings are checked again right there; the second person sees “Someone else just took this time” and fresh free times load for them. The page is also rate-limited against rapid repeated requests.
How the guest manages a booking
For every cancellation or move by the guest, the notice “A booking was canceled” or “A booking was rescheduled” reaches you. A meeting that is already past can't be cancelled or moved, and while the page is paused, rescheduling is closed too.
- After booking, “Add to my calendar” gives a calendar file (.ics)
- The “Meeting link” for Meet or Zoom is right there
- “Cancel or reschedule” opens the booking's manage page, which opens only with that link
- “Reschedule” shows the same free times, and “Confirm new time” moves the meeting
- “Cancel booking” takes the meeting off your calendar
What happens after a booking
A real meeting on your calendar, with an external link if the location is Meet or Zoom. The person who booked is added to My Network and their interaction is logged. The “A meeting was booked with you” notification arrives through the bell and Telegram, and two bookings never land on the same time. The list of bookings is in those same settings, and you can cancel any upcoming booking.
The bookings list, and cancelling from your side
“Bookings” at the bottom of the calendar settings has two tabs: “Upcoming” and “Past and canceled”. Each row has the guest's name and email, the meeting type, the day and time, their note and their answers, and a cancelled row says who cancelled it. “Meeting” opens the meeting page and “Cancel” cancels the booking. Booking notifications bring you straight to this list too.
When you cancel, the meeting leaves your calendar, the booking stays as a record, and a line is added to the guest's interaction history in “My network”. Flowra does not tell the guest, so let them know yourself. “Delete page” retires the address and removes the meeting types, but meetings already booked stay on your calendar.
On a phone
The booking page is built phone first: one column on a phone, two on a desktop. The strip of days scrolls sideways and the times are big buttons. On a phone the calendar settings keep the same sections one under another, and the meeting-type editor slides up from the bottom.
