Settings: account, preferences, work and data

Settings is one page with four groups: account and security, preferences, work and data, and plans and payment. Every row is one tap from its own page, and each workspace has settings of its own.

Where settings are

On a desktop, your photo or the first letter of your name sits at the bottom of the sidebar, and it is the way into “My account”. On a phone there is no sidebar: open the menu at the bottom of the screen; the plan card, your pinned tools and the “Settings” row are there.

At the top of “My account” are your name and address with an “Edit profile” button, then the plan card with the usage of members, workspaces and storage. The four settings groups come next, and at the foot of the page “Guide”, “Contact support” and “Sign out”. Every settings page also has its own related links, and the header's back button returns to “My account”.

The settings map

Each group has a few rows, and some rows show their current state beside them, such as “On” for the screen lock, the current language, or how many tools are pinned.

  1. Account and security: basics, change password, authentication, screen lock
  2. Preferences: notifications, theme, language and calendar
  3. Work and data: finance, tools, calendar and booking page, connectors
  4. Plans and payment: subscription and plans, activate with a voucher, payment history

Profile: name and face

“Basics” changes your first and last name: what others see in chat and in workspaces. Your username is what people use to call you with @, and it does not change.

There are two ways to a picture. “Make an avatar” builds a cartoon face: start with “Shuffle”, then change the hair, eyes, clothes and background colour; “Undo” takes back the last step and “Earlier faces” keeps your previous designs. “Upload image” takes a JPG, PNG, WebP or HEIC up to 10 MB; drag the frame to move it and zoom with two fingers or the zoom bar. The face is always shown in a circle, and if you remove the picture the first letter of your name takes its place.

Password, authentication and sessions

“Change password” asks for your current password and the new one twice. In “Authentication”, “Two-factor sign-in” (a code from Flowra's Telegram bot after your password) and “New sign-in alert” (word of every sign-in from a new device) are marked “Soon”: neither is available yet. “Active sessions” shows the devices signed in to your account and closes each one separately. More detail is in the security guide.

Screen lock

The screen lock takes a four-digit PIN and locks the page after however many idle minutes you choose. The lock icon in the header locks it at once. If the device has a fingerprint sensor, press “Add this device's fingerprint” after turning the lock on so the lock screen opens with it too; the PIN is always the second way in.

The lock belongs to this browser, so on another device you set it up separately. “Remove screen lock” takes it away.

Notifications and sound

The “Notifications” page has a row for each event: task assignment, task reminder, money alerts, status changes, comments, mentions of you, invitations, meetings and sharing. For each event you decide separately whether it appears in the app's bell, goes to your email, and, if Telegram is connected, reaches Telegram too. Email is off by default; the end or renewal of your subscription always appears in the app.

“Daily digest” turns status changes and comments into one counted notification a day instead of one each; mentions of you are never folded into the digest. If you muted conversations in Telegram, “Unmute all” brings them all back. “Notification sound” plays a short sound for a new message and for every assistant answer, or stays silent, and it is saved on your account.

Language, time zone and calendar

The app speaks nine languages, and choosing one switches the whole app at once. The time zone decides by which clock reminders and meetings are counted. The Solar Hijri or Gregorian calendar is chosen with a preview of today's date, and every date in reports and transactions follows it. All three are saved on your account, so a second device gets them too.

Theme

There are two modes: light with a warm background for the day, and dark for the night and dim rooms. Pick one and press “Save theme”; every page follows it.

Tools: pinning to the sidebar

Nine tools can be pinned: calendar, meetings, notes, files, chat, Networks, Collabs, Folio and Docs. Each tool has a switch in “Tools”; a tool that is on sits in the sidebar on a desktop and in the bottom menu on a phone. The order of the pinned list is the order of the sidebar, and “Move up” and “Move down” change it. Tapping the row itself opens that tool.

“Restore defaults” brings back the first six tools: calendar, meetings, notes, Docs, files and chat. A tool that is not pinned always opens from the “Other tools” list or from search.

  1. Open “Settings”, then “Tools”
  2. Turn on the switch for the tool you want
  3. Use “Move up” and “Move down” to set its place in the sidebar

Finance settings

Everything to do with money that can be set up, in one place: accounts with “Manage all”, labels, types, and “Reports and entry” with the finance dashboard, reports and quick add. At the top are buttons for a new account, quick add and the finance dashboard. Team finance lives in each workspace's settings.

Calendar, connectors and subscription

These three rows lead to pages with guides of their own. “Calendar and booking page” is working hours, time off, meeting rules and the booking page. “Connectors” shows every service Flowra connects to in one place, from Google Drive and Dropbox to Google Calendar, Zoom, Telegram and MCP. “Plans and payment” is the plans, activation with a voucher and the payment history.

Account settings or workspace settings

“My account” is yours and goes everywhere with you. Each workspace has separate settings of its own, from the “Settings” row in that space's column, and the top of the page shows your role in that space. There you find members and roles, invite by email, the action board's workflow, the space's accounts and finance report, the group chat and the team's Telegram group.

The space's name and “Delete workspace” belong to the owner alone, and deleting cannot be undone: every project, company, task, contract, shared transaction and the group chat of that space is erased. Your account's plan covers every workspace you created.

  1. Members and roles: who is here and what they can do
  2. Invite by email: a formal invitation to this space
  3. Board workflow: order, names and visibility of the action board's columns
  4. Finance: the space's accounts and finance report
  5. Team and chat: the group chat and the Telegram group
  6. Subscription and plan: the plan that covers this space

Where it is saved

Language, time zone, calendar type, notifications and the notification sound are saved on your account, so a second device has them too. The theme, pinned tools and the sidebar's width stay in this browser, and they are only stored once you accepted “Preferences” in the cookie notice. The screen lock belongs to this browser as well.

Sign out

“Sign out” is at the foot of “My account”. Signing out closes the session on the server too, not just in this browser. To throw every other device out, change your password; every earlier session is closed.

On a phone

On a phone the way in is the menu at the bottom of the screen, and the settings groups stack instead of sitting in two columns. The pages are the same and only the buttons move: the avatar maker and the photo crop slide up from the bottom of the screen, and pinned tools show in that same bottom menu.
